Building a Workflow

Building a workflow is easy with the Workflow Designer (WFD). Simply launch the WFD and use the easy drag and drop mechanism to construct the workflow. Workflows are made up of objects that represent tasks, events, conditions, flow control arrows and other items used to graphically construct the flow of a process.

To create a new workflow:

  1. Click the Workflows button in the Server Management Console (SMC) to navigate to the Workflows section.

  2. Click the New button or right click an empty area inside the main window pane (top-right pane) and select New -> Workflow from the right click menu that appears. A new workflow icon is generated in the main window.

  3. Rename the new workflow object by clicking the provided default name and entering the desired name for the object.

  4. Select the newly created workflow object and click the Edit button or right-click the object and select Edit. The Workflow Designer (WFD) opens, as shown below.  

To add objects to a Workflow:

  1. Drag and drop tasks, events/conditions, process objects and subworkflows from the Available Objects pane into the workspace or double-click a particular object to add it to the workspace.

  2. Rename the object by clicking the provided default name and entering the desired name for the object.

  3. Edit the object by double-clicking it or right-clicking it and selecting Edit.

  4. Connect the objects with flow control arrows or use evaluation objects to change the execution order of the workflow based on the evaluation's results or wait objects to provide the ability to wait for multiple items within the workflow.

NOTE: Creating a new workflow or adding new objects such as tasks, processes, conditions or other available objects to an existing workflow automatically stores the workflow and its contents in the Repository for re-use. For more details, see Repository Management or Workflow Management.

To create/edit a task from the Workflow Designer:

  1. Drag the task icon from the Available Objects pane of the WFD to the workspace or double-click the task icon to add a new task to the workspace. A new task named Unbuilt Task is added to the workspace.

  2. Rename the task by clicking the provided default name and entering the desired name for the task.

  3. Select the agent that the task should run on (provided under the task name).

  4. Drag and drop the available actions on the left side of the Task Builder to the right side. See Editing Task Steps and About Actions for more information.

  6. Click the Update and Close button (top left corner of Task Builder) to save changes and close the Task Builder window.

To set an event or condition from the Workflow Designer:

  1. Drag and drop and event or condition from the Available Objects pane onto the workspace or double-click the desired event or condition to add it to the workspace. A new event or condition named Unbuilt Condition is added to the workspace.

  2. Rename the event or condition by clicking the provided default name and entering the desired name for the object.

  3. Double-click the event or condition or right-click the object and select Edit to set its properties. See Setting Conditions for more information.

  4. After setting the event or condition's properties, click the Update button to save changes and close the properties dialog.

To connect with flow control arrows:

  1. Click the desired arrow from the Flow Control section of the Available Objects pane and drag it into the workspace or double-click the desired arrow to add it to the workspace.

  2. Connect each end of the arrow to the desired objects contained in the workspace. When a red, green or blue dot appear next to the object being connected to (the color of the dot color coordinates with the color of the arrow being used), release the arrow. NOTE: If a color coordinated dot does not appear, the arrow is not properly connected.

To access a pre-existing object from the Workflow Designer:

  1. Click the Repository button at the bottom of the Available Objects pane. The Repository appears.

  2. Click the plus (+) sign next to each folder/sub-folder to expand that folder. All pre-existing workflows, tasks, conditions or processes are displayed in their respected folders.

  3. Simply drag the desired object to the Workflow Designer's workspace to add it to the current workflow.
